A dynamic and fast-paced finance office is seeking an experienced and detail-oriented Executive Assistant to support a high-level executive with both professional and personal matters. Salary Range: $120,000 - $150,000 / year DOE

Executive Assistant Responsibilities:

  • Manage and coordinate complex domestic and international travel arrangements
  • Maintain detailed calendars and schedules across multiple time zones
  • Oversee and support management of private assets, residences, and vendor coordination
  • Handle sensitive financial documents, wire transfers, and confidential correspondence
  • Track and review invoices, flag discrepancies, and liaise with relevant stakeholders
  • Provide administrative support for office needs including supplies, tech troubleshooting, and mail management
  • Serve as a key point of contact for internal team members, external partners, and personal vendors
  • Manage and follow up on personal tasks
  • Prepare presentations, organize meetings, and ensure seamless execution of day-to-day priorities

Executive Assistant Requirements:
  • 5-7+ years of experience supporting executive or C-suite level leaders
  • Bachelor's degree required
  • Strong proficiency in Microsoft Office Suite
  • Tech-savvy with the ability to troubleshoot issues and manage digital documents securely
  • Demonstrated ability to handle confidential information with integrity and discretion
  • Excellent written and verbal communication skills
  • Highly organized, with strong attention to detail and follow-through
  • Comfortable with a hybrid schedule and occasional off-hours responsiveness
  • Experience in a finance, legal, or investment setting is preferred
  • Certified Notary is a plus
  • Familiarity with vendor coordination and property management
