Job Summary/Company:
Sparks Group has partnered with a local credit union and together we are searching for a Senior Administrative Assistant. In this role you will provides high-level administrative and project support to the SVP & CFO, SVP & CIO, and VP/Director of Marketing & Business Intelligence. The ideal candidate demonstrates exceptional attention to detail, strong communication skills, technical proficiency, and sound judgment in handling sensitive matters. This position requires initiative, discretion, and the ability to anticipate requirements to keep executives informed, prepared, and aligned with strategic objectives.

Responsibilities:

• Provide proactive executive-level administrative support to CFO, CIO, and VP/Director of Marketing & Business Intelligence.
• Manage complex calendars, schedule meetings, and coordinate logistics for leadership and Board-related events.
• Prepare and edit executive-level presentations, reports, and correspondence for internal and external audiences.
• Monitor and manage divisional budgets, including expense tracking, forecasting, and variance reporting.
• Coordinate briefing materials for Board and leadership meetings; ensure timely distribution and follow-up.
• Serve as liaison between executives and internal/external stakeholders, exercising discretion and professionalism.
• Organize and maintain confidential files in compliance with regulatory and internal standards.
• Support strategic planning sessions and annual/mid-year planning cycles with documentation and reporting.
• Coordinate travel arrangements and process expense reports accurately and promptly.
• Provide guidance to other administrative staff and serve as backup for senior leadership assistants.

Qualifications/Background Profile:
• Associate degree or equivalent combination of education and experience.
• Minimum 5 years of progressively responsible experience supporting senior executives, preferably across multiple divisions.
• Proven ability to manage complex schedules, prepare executive reports, and coordinate high-level meetings.
• Experience in budget management, expense tracking, and variance reporting; forecasting preferred.
• Strong written and verbal communication skills; ability to maintain confidentiality.
• Excellent organizational, time management, and project management skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat.
• Expertise in preparing executive and Board-level presentations and dashboards.
• Strong analytical and problem-solving skills with attention to detail.
• Ability to work independently and collaboratively in a fast-paced environment.
• Familiarity with project management tools and board portals (e.g., OnBoard, SharePoint).
• Working knowledge of financial systems and credit union regulations (Bank Secrecy Act, USA PATRIOT Act, OFAC).
• Professional demeanor, sound judgment, and strong interpersonal skills.

This job is Hybrid Remote.

Pay Range: Hourly $32.00 to $36.00
